Tracking software licence expiries

Unused or over-purchased software licences are one of the easiest places to waste money — and one of the easiest for ClearAsset to catch.

Adding a software record

  1. Go to Software and click Add Software.
  2. Enter the name and vendor.
  3. Choose a Licence Type: perpetual, subscription, open source, freeware, or trial.
  4. Set the Licence Count — how many seats you've purchased — and the Licence Expiry date if it applies.
  5. Optionally record cost per month or year, and a support expiry date if the vendor's support contract is separate from the licence itself.

Linking software to devices

Open a software record and use Installed On to link it to the devices running it. This gives you two useful views:

  • From the software record, see every device it's installed on
  • From a device record, see every piece of software installed on it

Comparing installed count against Licence Count is the fastest way to spot over- or under-licensing.

Warning

ClearAsset tracks what you tell it, not what's actually installed — there's no automatic device scanning. Linking software to devices is a manual step, but it's what powers the licence compliance report.

Expiry alerts

Licence and support expiry dates feed into your organisation's alert thresholds, so renewals show up on the Alerts page and in email notifications before they lapse.
