Using custom fields on assets

Every organisation tracks a few things ClearAsset doesn't capture out of the box — an internal cost centre code, a building/floor location, a risk rating. Custom fields let you add them yourself.

Creating a custom field

  1. Go to Settings → Custom Fields (or open any device, software, or subscription record and use Custom Fields → Manage).
  2. Choose which entity type it applies to — Devices, Software, Subscriptions, or another asset type.
  3. Give it a label and pick a field type: text, number, date, dropdown (select), or yes/no (boolean).
  4. For dropdown fields, list the options you want available.
  5. Mark it as required if every record of that type must have a value.

Filling in values

Once a custom field exists, it appears automatically in the Custom Fields section of every matching record — no need to add it record by record. Click into any device, software item, or subscription and fill in the value like any other field.

Tip

Custom fields show up in CSV export too, so anything you capture here comes with you if you need to report or hand off data outside ClearAsset.

Reordering and removing fields

From the same Custom Fields settings screen, drag fields to reorder how they appear on records, or delete a field you no longer need. Deleting a field removes its stored values from every record — this can't be undone.
