Adding your first devices

Devices are laptops, desktops, servers, mobile phones, tablets, and network equipment — anything with a serial number that your organisation owns or manages.

Adding a device manually

  1. From the sidebar, go to Devices and click Add Device.
  2. Enter a name and choose a Type (laptop, desktop, server, mobile, tablet, network, or other). These are the only required fields.
  3. Optionally fill in manufacturer, model, serial number, asset tag, OS, purchase date, warranty expiry, and purchase cost.
  4. Assign an Owner (a team member) and a Department if you use them.
  5. Click Save. The device appears in your device list immediately.

Note

Only Name and Type are required — you can add the rest later. Click into any device to fill in more detail once it's added.

Updating a device later

Click any row in the Devices table to open its record. Every field is editable inline — click a value, change it, and it saves automatically when you click away or press Enter.

From the same panel you can also:

  • Log maintenance history (date, description, cost, who did the work)
  • Link the device to related software, subscriptions, or vendors
  • Check the device out to a user and set a due-back date (Professional plan)
  • Print a QR code asset label (Professional plan)

Device statuses

| Status | Meaning | |---|---| | Active | In use, tracked normally | | Inactive | Not currently in use (e.g. in storage) | | Disposed | Retired or destroyed | | Lost / Stolen | Missing — kept on record for audit purposes |

Plan limits

The Base plan allows up to 50 devices (and up to 50 of each other asset type). Professional removes this limit entirely.
